Job Description

  • The Executive Assistant is a high-visibility strategic partner that supports the Director of Ventures in managing the day-to-day administration and operations of the ventures. Helps manages the day-to-day operations of the company, as well as the coordination of initiatives.
  • Also contributes to special projects and partnerships, supports due diligence and portfolio management of the fund’s investments, development of pitch documents, financial models, etc.
  • The Executive Assistant lives in the now and develops and streamlines systems and processes to ensure the efficiency of projects and the effectiveness of communication across Semicolon Ventures.
Key Responsibilities
Record Keeping:
  • Maintain contact database including but not limited to: vendors, potential event hosts, potential sponsors, potential podcast partnerships, business partners, etc.
  • Filing and retrieving corporate records, documents, and reports.
  • Assist the Director of Ventures in managing all official affairs including, running errands on official duties.
  • Manage and maintain the Directors of Ventures’ calendar.
Events:
  • Research people, events, companies, etc., and report to the Director of Ventures as needed
  • Plan and organize events such as meetings, conferences, training events, speaking engagements, business dinners, etc., including preparing all information, taking notes, and conducting follow-up as needed
Communication:
  • Assist with communication (reviewing and formatting presentations, reports, etc.)
  • Field all incoming correspondence (phone calls, mail)
  • Create and maintain a physical and digital information management system and serve as the information hub of the Director of Ventures.
  • Prioritizes items that need the Director’s attention.
Meetings:
  • Accurately taken minutes from meetings.
  • Meeting preparation, management, and follow-up
  • Manage Director’s 1-1 coaching client calls and meetings with founders.
Strategic Support to the Director of Ventures:
  • Acts as eyes and ears for the leadership team, and makes recommendations as needed
  • Assist the Director of Ventures with special projects and partnerships as needed
  • Supports due diligence and portfolio management of the fund’s investment
  • Development of pitch documents, financial models, etc
  • Provide general administrative support.
  • Any other task as deemed fit by the organization.
Job Requirements
  • Work experience as an Executive Assistant, Personal Assistant, or similar role
  • Since you are working with the venture arm of Semicolon, we will prefer an EA with Accounting, Economics, Statistics, Business Administration, or related background.
  • You must be someone who is comfortable with figures and basic arithmetic
  • Outstanding organizational and ability to multitask
  • Time management and ability to meet deadlines, and self-direction.
  • Familiarity with office gadgets and applications e.g calendars and copy machines
  • Experience as a virtual assistant
  • Excellent verbal and written communications skills
  • Problem-solving, discretion, and confidentiality
  • Interpersonal skills.
